AvailSuite is a software solution for managing a small or medium service business. It covers all critical activities of small companies, like customer and work order management, invoices and account receivables, employee scheduling, and task management.

Document IDs

Every document in AvailSuite has a Document ID field. This field is useful for quick reference and locating the documents. It is especially useful for Orders and Invoices - the documents that can be sent to other people. Then you can easily reference required Order or Invoice by telling its ID.

AvailSuite does not place any restrictions on the content of the Document ID fields. You may type in purely numeric IDs or mixed - letters and numbers. Up to 64 characters are allowed for a Document ID. Please, note that AvailSuite does not prohibit documents with the same IDs.

Automatically generated Document IDs

Even though you may enter an ID for every document (or leave it empty), you can setup AvailSuite to automatically generate an ID for every new document. A separate ID counter is maintained for every document type. So, if you create new Orders, the system will assign them IDs like that: ORD0001, ORD0002, ORD0003, and so on. If then you go create Invoices, they will get IDs like: INV00001-A05, INV00002-A05, and so on.

In order to setup automatically generated Document IDs, use Document ID Maintenance:




Please, note that for every document type, you can manage prefix, counter, and suffix.

Let's review INV0000020-2005, INV0000021-2005, and INV0000022-2005 sequence here. "INV" is the prefix. It will be added at the beginning of every generated ID. "0000001" is a variable part of the ID - the counter. You can specify counter length (7 digits in this example), and starting value (20 in this example). Every newly created document (invoice in this example) will increment the counter for invoices. "2005" is suffix here. It will be added to the end of every Invoice ID.

How to turn automatic IDs off?

This simple scheme should satisfy even sophisticated requirements for document IDs. If you dont want AvailSuite to generate IDs for a particular document type, simply set Counter Width to zero for that document type.
