AvailSuite customer relationship management (CRM) module will help you increase customer satisfaction, improve efficiency, create sales opportunities and increase revenue. AvailSuite offers automation of many day-to-day tasks for customer service and sales. Your customers can be companies or individuals - our software is suited for both types.

AvailSuite’s Customer screen contains everything you might need to know about the customer during a sales call or when scheduling services. The statistics page will show the summary of financial and service information regarding the customer. Other pages, available via a single click show invoice and payment history, performed and scheduled services, and other relevant information. There is also a notepad, allowing you to store short notes about the customer.

Easy Order entry

The customers' Orders are the source of revenue for your company. AvailSuite provides everything for quick Order entry and effective Order Management. All customer information, including billing and shipping address is copied from the customer record. You can then enter all information about the services to be performed, price and quantity data, discount and additional charges, plus any special comments or instructions regarding the order. You may start scheduling the services immediately off the order screen.

Because people are a key resource for a small company, effective staff management is required for the business to succeed. AvailSuite provides a simple and intuitive way to manage staff - Scheduling Calendar. This unique feature clearly distinguishes AvailSuite from other small business management software.

You can effectively schedule both short-term and long-term tasks, because you can change time-scale from minutes to months via single mouse click. You can manage your tasks, schedule tasks for technicians, and entire service teams. If you need to distribute the work between say 3 people, you can easily set filter to display just these 3 people's tasks. One click shows unassigned tasks. Another click shows all the tasks that have not been scheduled to any exact time yet. All the drag-and-drop capabilities make complex scheduling a breeze. You can move a task from one day to another day using the mouse. You can re-assign it from one person to another in a similar way. Resizing task bar will change the task's duration. Double-clicking on the task bar opens a screen with complete task details. Once the scheduling is done, you can print the daily job lists for everyone and get them started.

Complete Billing module with tax support

AvailSuite makes creating and maintaining invoices a simple task, allowing you to concentrate on other things. You can create an invoice from an existing work order or just from scratch. If an existing order is used to create an invoice, the system checks whether any invoices have already been created on that order, and suggest invoicing just the outstanding amount. The system will copy all invoice details from the work order, however you can add more invoice lines, special charges, and taxes.

The tax percentage can be different for every detail line, which is very convenient when you bill for your services and sold/replaced parts or materials. You may also set a different discount for every line, thus simplifying your discount-based marketing campaigns.

AvailSuite has special data views for quick overview of your invoices. The invoices are grouped by the customers or months. The Invoices by Month view is especially effective for tracking your revenue and comparing it to those of previous months. These comprehensive data analysis tools are great for measuring the financial state of your business.

Professional looking work orders and invoices

Even a small company wants to look great in front of its customers. So, AvailSuite provides you with professional looking documents, including your company logo. All documents can be printed in color, if your printer supports it. Work Order and Invoice templates have been designed to be fax-friendly. You can set a statement to appear at the bottom of every order or invoice, for example thanking your customers for doing business with you, or advertising your services.

International address formats and currencies support

It doesn't matter whether your business operates in USA or Europe or somewhere else. Our software adapts to your country. It reads your currency type from your Windows Regional Settings and uses it on all screens, bills and invoices, and reports. You don't even have to setup any options for that.

AvailSuite also supports multiple address formats. The default address type is that of US. When you enter an address and specify a country different from US, AvailSuite will automatically format the address to the country's standard.

Integrated Human Resources Management module

A small company cannot afford buying multiple software packages for different needs. So, we are trying to include all important functions into AvailSuite. Our service management software provides you with a simple and yet powerful Employee Management module. It lets you maintain personal information about your staff, including their photos; their job title and responsibilities and other work-related data. Time Tracking module to increase your profits

Any service company or professional that bills for time will appreciate AvailSuite's time tracking features. Employees can submit their time cards in accordance with the active tasks they are assigned. Submissions can be done either by filling out a single time card or filling out a time sheet, using a wizard-like form. Managers have access to submitted time cards; they can accept a time card, return it to the employee for additional editing, or reject it. Managers can process timecards either one-by-one or in groups. When all time cards are processed for a billable period of time, a manager can generate time-card based expenses. The software ensures that the time cards are not used twice for the billing. Once the expenses are generated, they will be automatically added to the invoices for appropriate customers. By reducing time spent on timesheet data entry and processing, your organization will see cost reductions, productivity increases, and ultimately increased profits.

Dispatch route management for higher efficiency

Using route management module, you can setup an unlimited number of routes. Then, you set a default route for every customer. Once it is done, efficient dispatching becomes a breeze. Every new work order is automatically assigned to the customer's default route. When it is time to schedule next week's services, you open "Work Orders by Route" view and assign orders to appropriate technicians, setting one or group of technicians per a route. All that is left is setting specific date (and time if required) for the services and you are done with dispatching.

Manage your purchases using Vendors/Purchase Orders module

AvailSuite lets you maintain a vendor list, and significantly helps to control the process of purchasing goods and services. Creating a Purchase Order takes seconds, since the software pre-fill all fields it can. You can also create an AP Invoice from a Purchase Order with a single click, avoiding double data entry. All purchase history is stored, so you can review what and when you bought from a particular vendor, what the prices were and so on. You can easily track any item in your inventory back to the vendor and purchase order it was bought on in case you have to return the item or buy more.

Powerful task management, including recurring and unplanned tasks

AvailSuite provides comprehensive task management capabilities. Depending on your needs, you can create and manage very small tasks, or complex tasks that will last a few days or even weeks. You can assign tasks to other users and Employees; you can categorize and prioritize the tasks.

There is a Recurring Task Wizard to assist you with scheduling activities that occur every week or month, or in some other, but still regular way. The Recurring Task Wizard is very flexible about the recurrence pattern you may set.

Another unique feature of AvailSuite is support of unplanned task. An unplanned task is a task, which has not been completely scheduled. For example, a customer asks you to perform certain service in May, or even fuzzier - somewhere during the spring. It's a good thing - you just received an order, but how are you going to make sure your company doesn't forget about it? AvailSuite has the answer for it. You create a task, set it to "unplanned" state, and specify that estimated period for this task is May or spring. When the time comes, you will see this task on the top of the list of unplanned tasks - meaning it is time to take some actions, call the customer and schedule the service to a particular date.

You can attach files to any data record in AvailSuite, just like you do when sending e-mails. Many AvailSuite users call this to be the most useful feature ever. They scan work orders and signed contracts, attach the scanned files to the customer record and then forget about the paper copy forever. AvailSuite supports multiple users working over local network or internet

All service companies are different. Some have a single computer to do all the data entry, schedule services, and print reports. Others have a network of a few computers in their office, or even throughout different locations. Our software will handle any of these scenarios. The computers can be connected even through the internet, provided that the connection is reliable.

AvailSuite has been designed to make multi-user work easy and seamless. When someone enters a new order or service, or modifies existing data records, they are displayed in bold font to other users until they open and read new information. It works very similar to your e-mail program – it also shows unread e-mail in bold font. This useful feature is not met in other service management software, only Availsuite has it at the time of the writing.

Other companies, selling service management software claim that they do the same, but you better check how often they actually do these free updates. You may be "surprised" to see no updates in years. AvailSuite is being updated about every 2 months. AvailSuite is a complete software package for a small company, it requires no additional software

AvailSuite will run on any decent Windows computer. You won’t have to purchase anything else. Even if you go for the multi-user setup, you don’t need Server edition of your Windows operating system. Windows XP Professional or Home Edition will work just fine.

The only time when you might need to buy anything is if you are planning to have more than 25 active users working with AvailSuite. In this case, it will be necessary to purchase MS SQL Server. However, 25 or more users mean not-so-small company anymore, and your IT budget is likely to easily allow for MS SQL Server licenses.

Powerful tables and views, with customizable columns, sorting and filters

When you have a lot of data in your business management software, you might find it difficult to find and work with the only records you actually need. AvailSuite comes with a set of views and tables (also called grids) that make it easier to work with your data records. You use these views to see only the data you want to see. You can choose what columns you want to have displayed, you can sort the data by clicking on appropriate column header, and you can even create filters similar to how it is done in Excel. Document statuses to help you manage hundreds of work orders, invoices and other things

Document is a very important concept in AvailSuite. While it is not something new, AvailSuite is unique among service management software to utilize it so efficiently. All main data objects, like invoice, order, and customer data in AvailSuite are called Documents. All these documents are uniformly treated within AvailSuite, thus simplifying working with them. All documents have a property called Status. Document's status can be Draft, Negotiated, Complete, and so on. These statuses define the document's status in the real life. For example, status Draft is usually assigned to new or incomplete Work Orders. It is also good for quotes and estimations. When an Order is finalized and confirmed by the customer, it should be moved into Negotiated status. Once the Order is fulfilled, it is moved into Complete status. If for any reason the Order is not to be fulfilled, it can be cancelled, moving it into Canceled status. This feature greatly helps with finding Work Orders and Invoices that actually need your attention, saving your time and increasing your productivity.

Free technical support, no hidden charges

We provide free technical support to all AvailSuite users. There are no hidden charges, like a limited number of free support accidents. All support is provided through e-mail, unless our support personnel decide to call you to facilitate problem resolution. Our typical response time is 15 minutes for the initial support request, and even less when investigating the problem. While some people might think that e-mail support is not as good as phone support, it is worth noting that you won't have to spend your time on hold waiting to speak to a live person, being forwarded to other people several times, and having to tell your story all over again. Another advantage for you is that you will only communicate to people who do have adequate knowledge and qualification to actually help you.
